[Special Feature] Our Firm’s BCP and Daily Infrastructure Improvements
Our firm is a small organization without a large corporate-style division of labor or a dedicated IT department.
Even so, with a commitment to “protecting our own operations ourselves,” we have steadily built up our security measures, business continuity planning (BCP), and efficiency systems—mainly through in-house engineering efforts and ongoing, incremental improvements.
For example:
- Instead of relying on email attachments for file sharing (which we have essentially eliminated or reduced to an absolute minimum), we operate our own open-source file exchange server (WebDAV-compatible).
All documents and data exchanged with clients go through this server, ensuring both secure file transfers and comprehensive transfer history management, while minimizing the risk of information leakage. - We are also working on plans to set up “client-specific My Pages” on our website in the future.
Through these personalized portals, we aim to deliver notifications and files from our office directly to each client, while also allowing clients to send instructions or requests to us with ease. This is still in the conceptual stage, but we are seeking a practical implementation that fits the actual needs and workflows of our firm and our clients. - We value the ability to “build and fix things ourselves” when it comes to IT and business process automation.
Rather than relying solely on external vendors, we make use of technologies like Python and RPA, continually developing and refining in-house tools that reflect real needs from the ground up. - Our BCP documentation is not a copy of big companies’ approaches but is tailored to our firm’s actual circumstances.
Rules for emergency response are written by us, for us, and are regularly reviewed and updated to match our size and operational characteristics.
Of course, we do receive specialist support from external experts where necessary, but the foundation is always our own initiative and efforts.
Whenever we notice a challenge or see room for improvement in our daily operations, we make changes quickly, striving to build infrastructure that is safe, convenient, and flexible.
Even without large resources or an extensive organizational structure, it is possible to establish solid information management and business continuity systems through on-the-ground ingenuity and continuous improvement—that is our firm’s unique approach.
